Job Role

The primary responsibility of Summer Housing Assistants (SHA) is to support the Campus Residences’ staff as well as conference/summer guests to make sure that all guests’ housing needs are met. Summer Housing Assistants will have the opportunity to work with different populations such as youth and adult groups. The SHA’s main duties are to prepare and organize various elements of housing for conference groups as well as provide quality customer service.

Summer Housing Assistant responsibilities include the following:

• Participate in overnight duty rotation from 7pm to 8:30am and 24 hour duty on weekends and holidays
• Support Campus Residence staff with check ins and check outs from residential communities
• Complete building/room preparation 
• Provide excellent customer service to conference guests and residents
• Serve as primary point of contact for guests/participants in emergency situations
• Assigned administrative tasks as applicable

Some SHAs will have the opportunity to work for additional hourly pay throughout the summer to perform specific tasks such as:

• Inventorying linens, laundering, and sorting linens, setting up spaces, turning over spaces once guests have departed, and packaging linens at the end of the summer.
• Work scheduled shifts in a Community Area Office between the hours of 8AM-7PM Monday-Friday.

Summer Housing Assistants looking to work for additional pay must be eligible for student payroll and will only be approved for minimal other commitments outside of their SHA role.

Eligibility

• Applicants must be a current Stony Brook University student and enrolled in Summer 2024 or Fall 2024 classes. 
• Applicants must have a semesterly and cumulative 2.50 GPA at the time of application.
• Applicants must be in good conduct standing. 
• Applicants must be able to work for the entire duration of the summer. The summer timeline runs from May 20 - August 20, 2024.
• Applicants must be available for an individual interview, typically scheduled in March/April.
• Applicants must attend one of the information sessions in full below in order to apply for the SHA position.

• Students applying to be a 2024 Summer Housing Assistant are required to attend a mandatory information session in order to gain a thorough understanding of the application and selection process, as well as job responsibilities.

• Students who attend an information session will receive an email 24 hours after the informational session you attended with the link to the SHA application and how to apply. 
• The deadline to submit the application is February 7, 2024, at 11:59 pm. References are due by February 13, 2024 at 11:59 pm. Once the application deadline has passed, all applicants will be notified about the next steps in the process.

FAQs

• What is the timeline for SHA Recruitment each year?
  Summer Housing Assistant recruitment will begin at the start of the Spring semester, with information sessions occurring in late January. These information sessions are required in order to apply for the role. Offers for the position are typically made in March.
• How long is SHA training?

  Summer Housing Assistants will receive a week-long training prior to the start of the conference season to ensure proper instruction and resources are provided. This training encompasses both campus-wide and area-specific training.

• Is training a requirement for the position?

  Yes. Training is an important aspect of the SHA position as it serves as an invaluable opportunity to learn aspects of the position, participate in professional development, and bond with those on your immediate and extended teams. As such, attending training is a requirement while employed as a Summer Housing Assistant.

• What compensation do SHAs receive as part of their role?

  As part of their compensation, Summer Housing Assistants receive a full bed waiver and a meal plan stipend. The meal plan stipend will be $500.00 for SHAs in a non-cooking space and $250.00 for SHAs in a cooking space. The meal plan stipend will be distributed in multiple installments over the summer.

  Some SHAs will also have the opportunity to work for additional hours at pay. These staff members will be paid $16.50 per hour. Applicants will be asked to indicate their interest in working additional hours for pay within the application.

• What does the application entail?

  A successfully completed application encompasses a few parts: fully answered application questions, a current resume if you have one or a list of your more recent experiences, and the names and contact information for one professional reference. • Who should my references be? Should I ask them to write a letter?

  When applying, SHA applicants will be required to submit the name and email of one professional reference. References can be professional staff members, faculty members, former employers, advisors, etc. References should not be from parents/guardians, friends, etc. Prior to listing someone as a reference, you should speak to them and ask for permission to use them as reference for your application. References should not be surprised when we contact them for information about your experiences in relation to the SHA role.

  Please note that we are not looking for a letter of recommendation from your reference. Rather, we will reach out directly to your provided references and ask them to fill out a recommendation form with standardized questions on your behalf.

• Do I get to choose where I am placed?

  Successful applicants that are offered the role will receive their placement in their offer letter. Applicants are not able to choose where they are placed. SHAs are placed by the selection committee based on the applicant's application, interview responses, and what population and team they would work best with.

• What is the employment period/period of obligation for a Summer Housing Assistant?

  The Summer Housing Assistant position is roughly a 3-month position that goes from May 20 to August 20. The position starts prior to the end of the Spring semester and extends until the start of the Fall semester. SHAs will also be required to attend an introductory meeting in April as part of their training. It is important to note that campus housing does not close during break periods, so SHAs may be required to work any public holidays that fall within their employment period.
