All Ammann and Gray students waiting on a reassignment have been sent an updated room assignment to their Stony Brook University emails. Thank you for your patience and understanding. 

Residence Hall Updates

• Our Campus Operations and Maintenance team has confirmed that all of our residential buildings, except for Ammann and Gray, are safe and ready to be occupied.
• Due to significant flooding, Ammann and Gray will need extensive repairs and cannot be safely occupied. We are currently communicating with and working to reassign impacted students to available spaces.
• We are also designating additional rooms as temporary triples and will notify impacted students.

Not Yet Moved-in? 

• Why has the move-in date been delayed?

  Torrential rain on August 19 caused significant flooding in the local Stony Brook region and impacted several Stony Brook campus buildings and residence halls. A full assessment of the impact across our campus is underway, and given this unforeseen emergency situation, we paused our Monday and Tuesday check-in. 

• Which residence halls are affected by this?
  Ammann and Gray residence halls were significantly impacted by the flooding and will need extensive repairs. All other residential buildings have been confirmed safe and ready to be occupied.
• What are the new move-in dates?
  • For those scheduled to move in on Monday, August 19: Your new move-in date is Thursday, August 22, at the same time.
  • For those scheduled to move in on Tuesday, August 20: Your new move-in date is Friday, August 23, at the same time.
  • For those who were not originally scheduled to move in on August 19 and August 20, your scheduled move-in date, time, and location remain as originally planned. Please refer to your check-in pass in the housing portal for specific details. 

  If these dates are not convenient, you may check in on Friday, August 23, Saturday, August 24, or Sunday, August 25, between 9:00 AM and 5:00 PM or 8:00 PM and 9:00 PM.

• How do I access my check-in pass?
  You can access your check-in pass by logging into the housing portal. It will provide you with the exact time and location for your move-in.
• Where can I find more information about the move-in process?

  You can find detailed move-in information on our move-in information website, which includes check-in procedures, what to bring, and other important guidelines.

• Will there be any changes to the check-in process due to the recent flooding?

  The check-in process will proceed as planned for all buildings that have been confirmed safe. Please follow the instructions on your check-in pass and refer to the move-in information website for any updates.

• Can I attend the Family BBQ?
  Yes, you and your family members are invited to the Family BBQ on your move-in date. It will be held on Thursday from 12:00 PM to 3:00 PM or Friday from 12:00 PM to 3:00 PM at the Staller Steps.
• What should I know about the New Seawolves Welcome activities?
  Your New Seawolves Welcome schedule has been updated and is available on SB Engaged. Required programming, such as the Class of 2028 Convocation and Wolfie’s Welcome, will take place on Saturday, August 24.
• What if I cannot attend the required New Seawolves Welcome programming?
  If you are unable to attend the required programming, you will be enrolled in the Required Orientation Makeup Experience (ROME) course during the first few weeks of the semester to complete the required programs.
• How can I contact the orientation office for additional questions?
  For any orientation-related questions, please contact the Office of New Student and Transition Programs at orientationoffice@stonybrook.edu.
• Is dining still available?

  Yes, dining is available on campus. Please visit the Campus Dining website for more information. 

• What is Campus Residences doing to respond to this situation?

  We understand the stress that this must be causing, and we are doing everything in our power to respond quickly and thoroughly, including:

  • We are currently working to reassign impacted students to available spaces on-campus. 
  • We are designating additional rooms as temporary triples, primarily in first-year communities. All students in these tripled rooms will receive an approximate 15% reduction of the room rate credited to their account for the days the room was designated as a temporary triple. If demand for campus housing remains high, the temporary triple room could remain occupied with three residents for the academic year.
  • We are implementing a $5,000 cancellation incentive for any new or continuing undergraduate resident who has not moved into their Fall 2024 assignment. If this option is of interest to you, fill out this link. Once we assess the need, we will contact individuals with further instructions on how to cancel and receive this incentive. Completing the form does not guarantee you will be selected. Should you need housing again in the future, you will be able to participate in Room Selection for 2025-2026. 
• Will I receive an adjusted housing rate for the days I was not on campus?

  Returning residents who paid for early arrival, will be credited for nights until they are able to check-in.

  Undergraduate Housing bills cover nights starting August 24, 2024 so there will not be any credits for delayed move-in. Early arrivals for orientation are not part of the students bill.

• I am thinking about cancelling my housing. What are my options?

  Starting August 20, 2024, we are implementing a cancellation initiative for any new or continuing undergraduate students who have not moved in yet.

  To be considered for this incentive, you must fill out the Cancellation Incentive Form by noon on Wednesday, August 21.

  Completing the form does not guarantee you will be selected. Those selected will receive a $5,000 cancellation incentive.

  Once we assess the need, we will contact individuals with further instructions on how to cancel and receive this incentive. Completing the form does not guarantee you will be selected. Should you need housing again in the future, you will be able to participate in Room Selection for 2025-2026.

• Can I contact Campus Residences for more information?

  Please refrain from contacting Campus Residences at this time. This is an ongoing situation and we will communicate any updates with you to your Stony Brook email as soon as possible. We ask that you please wait for further instruction before making adjusted move-in plans. 

Tripled Rooms

• Why is my room being tripled?

  Due to the recent flooding in the residence halls, some residence hall spaces affected by flooding will need extensive repairs and cannot be safely occupied at this time. In order to support as many individuals living on campus as possible, a number of previously detripled spaces and newly identified spaces will be converted into temporary triple-occupied rooms.

• How long will temporary tripling last?

  Due to high campus occupancy and limited vacancies from flood damage, the temporary triple room is likely to remain occupied with three residents throughout the year.

• What happens if a room becomes available for de-tripling?

  De-tripling will occur on a space-available basis. If a room becomes available, the resident in the "-3" bedspace will be reassigned to an available space nearby. You will be notified and given approximately a week to complete the move. De-tripling is not expected to occur during the fall semester.

• How will my room be configured as a triple?

  Temporary triples will be arranged in one of the following configurations:

  • 1 Standard Bed, 1 Bunk (Includes 2 Beds), 2 Desks, 2 Dressers, 2 Closets/Armoires
  • 1 Loft, 1 Bunk (Includes 2 Beds), 2 Desks, 2 Dressers, 2 Closets/Armoires
  • 1 Loft, 1 Bunk (Includes 2 Beds), 3 Desks, 2 Dressers, 2 Closets/Armoires
• How can I manage living in a temporary triple?

  Successful living in a temporary triple involves open communication and collaboration with your roommates. Both Residence Hall Directors (RHDs) and Resident Assistants (RAs) are available to assist with any issues that arise.

• How will I be compensated for the temporary triple arrangement?

  You will receive a 15% reduction of the room rate credited to your Solar account for the days your room is designated as a temporary triple.

• Can I request a room change while I'm tripled?

  Students in a triple are permitted to request 1:1 swaps into other tripled rooms through their area office after the room change freeze is over. 

• What do I bring to my new room?

  We strongly urge temporary housing residents to contact their roommates to discuss larger items that they may wish to bring (TV, refrigerator, speakers, etc.) to reduce the possibility of redundancy. It is also important that all students pack responsibly to ensure that each roommate will have sufficient living space.

• Can I see who my third roommate will be?

  You will soon be able to view your third roommate in the housing portal.

• What are my options if I prefer not to stay in a temporary triple?

  If you prefer not to stay in a temporary triple, you may choose to cancel your housing assignment by noon on Wednesday, August 21. You will receive a full housing refund, any deposit credited to your account, and a $5,000 incentive. If you choose this option, you can participate in Room Selection for the 2025-2026 academic year.

• What happens if I decide to cancel my housing after the deadline?

  After noon on Wednesday, August 21, cancellations will be subject to the standard cancellation policies prior to accepting your room key.

I Was Originally in Ammann or Gray and I have Been Assigned a New Room on West Campus

• Why am I being reassigned to a new housing space?

  Due to extensive repairs needed for Ammann and Gray residence halls, these buildings cannot be safely occupied. As a result, you will be guaranteed housing and administratively reassigned to a new space.

• How do I find my new housing assignment?

  Your new housing assignment is listed in the "Official Reassignment Notification" email and can also be found in your Housing Portal. Be sure to review both for complete details.

• What are the move-in times for my new assignment?

  Your new move-in time is Friday, August 23, from 2 PM-5 PM or 8 PM-9 PM. If this is inconvenient, you may check in on Saturday, August 24, or Sunday, August 25, between 9 AM-5 PM or 8 PM-9 PM.

• Where can I find contact information for my new community?

  Contact information for your new community is available on our Community Contact webpage. Your area office will also provide further instructions on check-in procedures.

• Where can I view my new assignment and roommate information?

  Your new assignment and any information about roommates or suitemates will be displayed on the Assignment Confirmation page of the Housing Portal. You will also receive move-in instructions along with your assignment email.

• I rented a MicroFridge. How will it be delivered to my new room?

  We will provide you with an update as soon as possible about MicroFridge relocations.

• What if I am assigned to a temporary triple room on campus?

  If your assignment is a temporary triple, please refer to the previous housing update email for information on room rates and other details. Additionally, our Tripling FAQs webpage has more information.

• How will my housing rate be adjusted?
  • If your new room has a lower rate than your initially assigned room, credits will be applied to your account to reflect the difference.
  • If your new room has a higher rate than your original rate, you will not be required to pay the difference.
• What happens if I participate in a room change later in the semester?

  If you change or swap rooms later in the semester, you will be billed at the rate of the new room assignment.

• What should I do if I no longer wish to live on campus?

  If you wish to cancel your housing, refer to the email sent on August 20 for detailed instructions and deadlines. Cancellations can be processed through the housing portal.

• What is the financial liability once I accept my room key?

• How will a delayed arrival affect my participation in New Seawolves Welcome activities?

  We understand that a delayed arrival may impact your ability to participate in New Seawolves Welcome activities. If you are unable to participate, we will offer additional opportunities for you to connect with your classmates.

• What should I do if I need further information or have additional questions?

Holiday Inn Express Residents

• Are first year students being assigned to Holiday Inn Express?

  No, only returning students have been assigned to this location. This community will be connected to the Mendelsohn community, have two live onsite Resident Assistants and a dedicated Residence Hall Director at West Campus to provide support.

• When is my new move-in time?

  Please refer to the "Official Reassignment Notification" for your specific move-in time. Move-in times vary depending on when hotel rooms are available for Stony Brook University students.

• How far is this hotel from campus?

  The Holiday Inn Express is about 3.2 miles from the Stony Brook University campus. The address is 3131 Nesconset Hwy, Centereach, NY 11720.

• What safety measures and protocols will there be in place to ensure the security and well-being of students during their stay?

  A hotel staff member is available 24/7. All side entrances are locked, and the main entrance is secured after 11 p.m. Additionally, two Resident Assistants will live on-site at the hotel, and a Residence Hall Director from Mendelsohn Community will be overseeing the residents at the Hoilday Inn Express.

• Will there be shuttles to bring students to campus?

  The shuttle from the Holiday Inn Express to campus will run as follows:

• Are students allowed to park at the hotel?

  Each resident is allowed to park one car at the hotel.
  

• What is the policy regarding towels and linens at the hotel?

  Students must bring their own towels. While hotel linens are provided, students may choose to bring their own queen-sized linens. Please note that all towels and linens must be laundered by the student.

  Your new assignment and any information about roommates or suitemates will be displayed on the Assignment Confirmation page of the Housing Portal.

• When is my new move-in time?

  Your move-in time is flexible. You can move in any day between Wednesday, August 21 and Sunday, August 25 from 9 a.m. to 5 p.m., or between 8 p.m. and 9 p.m.

• Where do I check in?

  You will check in directly at the front desk of the Hilton Garden Inn.

• How far is this hotel from campus?

  The Hilton Garden Inn is located on Stony Brook University West campus. The address is 1 Circle Rd, Stony Brook, NY 11794.

• Will there be any staff support at the hotel?

  Yes, a graduate student staff member will be living onsite at the Hilton Garden Inn to provide support.

• Which residential community will I be connected to?

  Students staying at the Hilton Garden Inn will be connected to Irving Hall in the Mendelsohn Community.

• Are students allowed to park at the hotel?

  Each resident is allowed to park one car at the hotel.

Ammann and Gray Permanent Reassignments

• Why is my temporary housing assignment becoming permanent?

  Due to the extensive repairs needed for Ammann and Gray residence halls, these buildings cannot be safely occupied at this time. As a result, your current temporary housing assignment will be considered permanent until further notice.

• When can I retrieve my belongings from Ammann and Gray?

  You can retrieve your belongings from Ammann and Gray between 2:00 PM and 3:30 PM on Tuesday, August 20, or Wednesday, August 21. Access outside these hours will not be permitted.

• Where should I return my Ammann or Gray room key?

  Please return your Ammann or Gray room key to the Mendelsohn Area Office by 4:00 PM on Wednesday, August 21.

• How will my housing rate be adjusted?
  • If your new room has a lower rate than your initially assigned room, credits will be applied to your account to reflect the difference.
  • If your new room has a higher rate than your original rate, you will not be required to pay the difference.
• I rented a MicroFridge. How will it be delivered to my new room?
  We will provide you with an update as soon as possible about MicroFridge relocations.
• What if I am unhappy with my new housing assignment?

  Starting the third week of the semester, you may inquire about room changes or swaps if you are looking for a different space.

• How can I contact the area office for further assistance?

  You can contact your new area office for any questions or additional support. Contact details for your area office are available on the housing portal.

• What should I do if I have trouble accessing Ammann and Gray during the specified hours?

  If you encounter any issues accessing Ammann and Gray during the designated hours, please contact the Mendelsohn Area Office immediately for assistance.

Early Access and Early Arrival (Self-Pay)

• I am signed up for either early access or early arrival. When can I move in?

  You can move in on Wednesday, August 21, between 9:00 AM - 4:00 PM or 8:00 PM - 9:00 PM. If you cannot make these times, you can check in during any other check-in window listed on our move-in website.

• Where can I check in?
  • West Apartments: Check in at the West E Commons.
  • All other locations: Check in at your building’s RA office.
• What should I bring for check-in?

  Your check-in pass will not be updated, but you can use the "Important Move-In Update: Early Arrival Students" email as confirmation that you are approved to arrive.

• What should I do if I cannot move in on Wednesday?

  If you cannot move in on Wednesday, you are welcome to check in during any of the other available check-in windows listed on the move-in website.

• How do I confirm that I am approved to arrive?
  You can use this email as confirmation when you check in to verify that you are approved to arrive.
• Can I contact Campus Residences for more information?

  Please refrain from contacting Campus Residences at this time. This is an ongoing situation and we will communicate any updates with you to your Stony Brook email as soon as possible. We ask that you please wait for further instruction before making adjusted move-in plans. 
  

Other Questions 

• My student signed up to participate in the Seawolf Outdoor Adventure Program (SOAP). Will it still be taking place?

  At this time the SOAP program has been postponed until further notice. Students should monitor their SBU email for updated information regarding participation as the semester begins.

• Will classes still begin on August 26th?
